Communication & move instructions

Everyone knows
what changes.
And what is expected.

A well-supported move starts with clear information and room for questions.

VM360° helps your organisation to inform employees, managers and implementing partners at the right time. From the first announcement to labelling, practical moving instructions and the first working day.

Communication runs throughout the project

Not everything has been determined yet. You can also communicate about this.

Employees need guidance. We distinguish between confirmed agreements, decisions to follow and questions to which the project team returns. This way, the information remains recognisable and it becomes clear when an update can be expected.

Aligned with the project phase

The right message at the right time.

01

From the start

Why do we change?

Objectives, outline planning, points of contact and room for questions. We also make clear what has not yet been determined.

02

Before the move

What should I prepare?

Labeling, packing agreements, destinations, deadlines and accessibility. The instructions are in line with the agreed moving phases.

03

During the move

What's happening today?

Current planning, changes and contact points. We agree who confirms information and through which channel it is shared.

04

After the move

How do I find my way?

Information about access, workplaces, support and reporting outstanding items. Feedback is given a place in aftercare.

From information to execution

Practical instructions
that people can put into action.

We work out agreements that suit your organisation and chosen moving partner. Who prepares which goods? What must remain available? What deadline applies and how are exceptions reported?

Instructions are coordinated with your project team and contractors. Specialised equipment, confidential files and materials with specific conditions receive separate agreements with those responsible.

A clear labelling plan

We link goods to the agreed destination, for example building, floor and room. The same coding is reflected in inventory, labels and placement information. Exceptions such as reuse, storage or disposal remain recognisable.

A useful moving instruction

A brief overview with preparation tasks, labelling, deadlines, points of contact and appointments for the moving day. We also agree on what employees do themselves and what the implementing partner will include.

What you get

A coordinated
communication package.

We tailor the content and form to your assignment, target groups and existing channels. This could be an information session, intranet message, FAQ, team briefing or practical instruction.

Together with your organisation

Clear senders.
One coordinated message.

The management explains the choices and objectives. Project managers communicate about progress and implementation. Department managers translate agreements to their teams, with support from the communications department.

VM360° helps coordinate content and timing. We align with your internal decision-making and agree who approves and distributes messages.

Preparing the first working day

After the move, questions continue to arise.

Finding the way

Explain access, routes, workplaces and shared facilities in an understandable way.

Being able to ask for help

Announce points of contact for practical questions, IT support and notifications in advance.

Follow up on notifications

Collect remaining points, appoint a responsible person and provide feedback on the handling.

In hospitals and laboratories, we also tailor instructions to care and research processes, access agreements and the conditions specified by the experts involved.

Frequently asked questions

Will VM360° take over our internal communication?

We support and structure project communication in consultation with your organisation. Who approves content and distributes messages is agreed in advance.

Do you also make the labels?

We can work out the label plan and the necessary information. We coordinate the format, production and distribution of labels with your organisation and the moving partner.

When do we start informing employees?

Already during the preparation. The first information can be about the goal, the process and the contact persons, even if the detailed planning is not yet final.

Can different departments receive their own instructions?

Yes. A common basis is supplemented with agreements per department, location or relocation phase. This way, the communication remains recognisable and fits in with daily practice.

The old location also counts

What moves with you and what is given a different destination?

Connect labelling and instructions with agreements about reuse, disposal and handover.
