First describe the command
Record locations, inventory, destinations, timing and desired service before comparing proposals. Also make it clear what your own employees do. A quote with packing and assembly is not directly comparable to transport alone.
Make differences visible
Work with an equation per part. Make a note of what is included, excluded, optional or still unclear. Request missing explanations in writing and include them in the same equation.
- Preparation, packaging, labelling and protective equipment.
- Disassembly, assembly and deployment of specialised partners.
- Personnel, equipment, time windows and any allowances.
- Storage, waste disposal and clean-up after execution.
- Assumptions about volumes, accessibility and additional work.
Rate the people doing the work
Ask about experience with similar environments and about the expected shift manager. Discuss relevant training, diplomas, licenses and certificates, for example VCA where requested or training for forklift and ladder lift operation. Which supporting documents are appropriate depends on the tasks and location conditions. Distinguish personal qualifications from corporate certification.
Ask how the partner organises the project
A good explanation makes it clear how preparation, briefing, communication and deviations are addressed. Ask how replacement of employees is arranged and how subcontractors comply with the same agreements. References are especially useful when size, complexity and role are comparable.
Record choice and principles
Assess costs alongside approach, capacity, experience and collaboration. Also discuss claims handling and contractual conditions with the responsible service. The client makes the choice; confirmed performance and principles are then translated into implementation agreements.
Illustrative example
This is how this can play out in a project
Two proposals appear to differ greatly in price. The first includes packaging and assembly, the second charges separate items for this. By comparing both proposals to the same scope, it becomes clear which performances and amounts still need to be clarified.
Discuss this with your project team
- Is the same inventory and planning used?
- Are exclusions and allowances clear?
- Are experience and qualifications appropriate for the work?
- Who leads the implementation and handles changes?
