Readiness · Practical knowledge

When is a move ready to start?

An approaching move date is not in itself confirmation that everything is ready. A Go/No-Go moment brings together conditions, feedback and decision-making.

From the VM360° manual · Kurt Van Synghel

Determine the conditions well in advance

Determine per phase what must be available or confirmed. Link each condition to a responsible person and a moment of feedback. This way, the assessment will not be a surprise just before the move.

Collect confirmations from the appropriate parties

The project coordinator brings information together. The competent services and specialists assess their own part. An overall score does not replace any necessary technical confirmation or clearance.

  • Availability of spaces, accesses and agreed facilities.
  • Status of ICT and the facilities required for its operation.
  • Availability of contractors, equipment and suppliers.
  • Agreed security measures and relevant permissions.
  • Current instructions, contact persons and communication.

Distinguish between outstanding items and blocks

Not every open point has the same impact. Have those responsible assess what is preventing the start and what can be completed later as agreed. Determine measures, owner and term. One critical missing condition can be decisive.

Record the decision and scope

Note which phase, zone or activity the decision concerns, what information has been assessed and who has decided. In the event of a postponement or adjusted phasing, the consequences for suppliers, employees and costs must be discussed.

Reassess when conditions change

A confirmation applies to the assessed circumstances. In the event of a malfunction, changed space or other implementation condition, the relevant person responsible must be involved again. Agree in advance how the team will report such changes.

Illustrative example

This is how this can play out in a project

A moving zone has been set up, but the freight elevator is not yet available for the planned work. The project team will present this to those responsible and investigate a postponement or an adjusted phasing. The calendar alone does not determine the start.

Discuss this with your project team

  • Are conditions per phase clear?
  • Are confirmations from the competent parties?
  • Which points block the start?
  • Have the decision, conditions and communication been recorded?
